Request Data Deletion

How to delete your Optriq account and the personal data we hold.

The Short Version

Email support@optriqai.com with the subject “Delete My Data”. We acknowledge within 72 hours and remove all of your account data from our servers within 7 working days, then confirm by email. Your Tally ledger data was never on our servers in the first place — it stays on your PC.

This page applies to deletion requests for data linked to Roy by Optriq via WhatsApp Business, Telegram, or the Optriq Connector desktop app.

What We Actually Hold About You

Roy by Optriq is local-first: your Tally ledger, vouchers, party masters, and financial records are read from Tally on your Windows PC and stay on your PC. The only data we hold on our servers is what we need to identify your account and deliver messages back to you on chat. Specifically:

What We Never Stored In The First Place

The following data passes through our cloud only at the moment you send a message, and is discarded as soon as Roy replies. We do not write any of it to disk on our servers or use it to train AI models:
  • Your Tally ledger, vouchers, party masters, and financial records
  • Chat messages you send to Roy on WhatsApp or Telegram
  • Voice notes (transcribed in-memory, then discarded)
  • Bill photos and PDFs (extracted in-memory, then discarded)

Because none of this is retained, there is nothing for us to delete on the cloud side beyond your account identifiers above.

How To Request Deletion

  1. Send the email. From the address registered to your Optriq account, email support@optriqai.com with the subject “Delete My Data”.
  2. Help us locate the account. Include your registered WhatsApp number (in international format, e.g. +91 98xxx xxxxx) or Telegram handle so we can match the deletion request to the right account. If you have multiple Tally companies on the same licence, you may request deletion of one or all.
  3. Clear local data on your PC (optional but recommended). Uninstall the Optriq Connector via Windows Settings → Apps, then delete the folder %AppData%\Optriq\. This removes the local SQLite database that held your activity log, settings, and licence key.
  4. Stop the chat. You may also block @optriq_roy_bot on Telegram or unsubscribe from the WhatsApp Business number to stop receiving messages immediately, independent of the account deletion request.

Timeline & Confirmation

  • Within 72 hours — we acknowledge your request by email.
  • Within 7 working days — we complete deletion of all account data from our production systems and email you a confirmation.
  • Within 30 days — encrypted backups containing your data are purged as part of our standard backup rotation.
  • Sentry error reports auto-expire on their own (90-day TTL); we will also issue a deletion call to Sentry on your request.

If we cannot complete deletion within this window for any reason (e.g., a legal hold), we will write to you explaining what is retained, why, and for how long.
